What you’ll do
- Identify relevant EU and Romanian funding opportunities (Horizon Europe, LIFE, Digital Europe, Interreg, PNRR, Regional Programs, etc.)
- Prepare short summaries of relevant opportunities for review by the Business Analyst.
- Keep a clean pipeline tracker of open calls and deadlines in the CRM system.
- Prepare initial drafts of narratives and project descriptions for review and refinement.
- Responsible for eligibility checks, preparation of eligibility documents and statements with support of the internal teams (HR, Finance, Technical, Sales)
- Fill in standard sections of application forms, budgets, and checklists based on guidance.
- Upload and organize documentation in MySMIS and other submission platforms.
- Ensure that all required annexes, templates, and supporting documents are complete and correctly formatted.
- Monitor and analyze public tenders (SEAP, TED, eTendering, etc).
- Review tender documentation and extract eligibility requirements.
- Responsible for eligibility checks, preparation of eligibility documents and statements with support of the internal teams (HR, Finance, Technical, Sales).
- Fill in standard sections of application forms, budgets, and checklists based on guidance.
- Ensure that all required annexes, templates, and supporting documents are complete and correctly formatted.
- Manage the submission process (DUAE, declarations, certificates, compliance documentation)
- Communicate with contracting authorities and support clarification requests
- Schedule info-gathering meetings and follow up for missing inputs with internal teams.
- Work with the Business Analyst to align data and ensure consistency.
- Support CTO’s team with collecting technical details (no expectation to validate tech feasibility).
- Maintain documentation, evidence, time sheets, procurement documents, and KPIs in order.
- Prepare draft progress reports and gather supporting materials for official submissions.
- Maintain templates, folders, naming conventions, and procedural checklists.
- Maintain clear track of deadlines and submissions.
What you need to be successful
- 1–3 years' experience in a consultancy agency for EU funds or an in-house EU Funding and/or Public Procurement role.
- Hands-on experience working with MySMIS (mandatory), SEAP (mandatory).
- Exposure to RO/EU funding programs, guidelines, and compliance rules.
- Understanding of procurement rules.
- Experience preparing application sections or supporting documentation.
- Strong administrative skills and attention to detail.
- Ability to understand grant guidelines and summarize key requirements.
- Basic knowledge of project budgets, KPIs, and reporting formats.
- Solid writing ability for drafting supporting materials.
- Strong organization and deadline management.
- Good communication across teams.
- English proficiency
